These Booking Terms & Conditions govern all bookings made with Fairy Chimneys Travel Pty Ltd ("Fairy Chimneys Travel", "we", "our" or "us").
By requesting a quotation, paying a design deposit, paying a booking deposit, confirming a reservation, or travelling on a tour arranged by Fairy Chimneys Travel, you acknowledge that you have read, understood and accepted these Terms & Conditions.
The person making the booking accepts these Terms & Conditions on behalf of all travellers included in the booking.

2. Quotations & Pricing
All quotations are subject to availability at the time of booking.
Unless otherwise stated, quotations are valid for seven (7) days from the date issued.
Pricing may change prior to confirmation due to:
• Hotel availability changes
• Supplier price increases
• Exchange rate fluctuations
• Fuel surcharges
• Government taxes and fees
• Transportation cost increases
• Changes imposed by suppliers
Availability and pricing are not guaranteed until a booking is confirmed and the required deposit has been received.
Once a booking is confirmed, pricing is generally fixed unless the traveller requests changes to the itinerary or services.
3. Custom Travel Design Services
Fairy Chimneys Travel specialises in customised and tailor-made travel experiences.
Our design process may include:
• Research and planning
• Routing development
• Supplier consultation
• Operational planning
• Destination recommendations
• Activity selection
• Budget analysis
• Preparation of bespoke itineraries
The value of these services exists independently of any booking ultimately made.
4. Design Deposits
For certain customised and tailor-made itineraries, Fairy Chimneys Travel may require a non-refundable design deposit before preparing a detailed itinerary, operational planning, supplier sourcing and final quotation.
The standard design deposit is AUD $300 per person unless otherwise advised.
The design deposit covers:
• Research and planning
• Itinerary design
• Supplier consultation
• Routing development
• Operational planning
• Preparation of customised travel proposals
The design deposit is not a reservation fee and does not guarantee availability of any service.
Where a traveller proceeds with a booking, the design deposit will be credited towards the standard booking deposit.
If a traveller chooses not to proceed with a booking, the design deposit remains non-refundable.
5. Booking Confirmation
A booking is considered confirmed only when:
• The required deposit has been received; and
• Written confirmation has been issued by Fairy Chimneys Travel.
No reservation should be considered confirmed until written confirmation has been provided.
6. Deposits & Payments
Deposit requirements may vary depending on:
• Destination
• Time before departure
• Supplier requirements
• Group size
• Special events
• Cruises
• Flights
• Rail tickets
• Seasonal demand
Unless otherwise advised:
• A deposit is payable within seven (7) days of confirmation where departure is more than 45 days away
• Final payment is due 45 days prior to departure
Certain suppliers may require larger deposits or full payment at the time of booking. Any such requirements will be advised before confirmation.
Failure to make payment by the due date may result in cancellation of services and applicable cancellation fees.
7. Credit Card Fees
The following payment surcharges apply:
• Visa and Mastercard: 1.5%
• Debit Cards: 0.75%
• American Express: 2.5%
These fees may change from time to time.
8. Cancellation by Traveller
All cancellations must be submitted in writing.
Cancellation fees apply from the date written notification is received by Fairy Chimneys Travel.
The following cancellation schedule applies unless otherwise advised in writing:
• 60 days or more prior to departure: Loss of deposit paid
• 59 to 30 days prior to departure: 50% of total booking value
• 29 to 14 days prior to departure: 75% of total booking value
• 13 days or less prior to departure: 100% of total booking value
Flights, cruises, rail tickets, event tickets, permits, special promotions and selected accommodation providers may be non-refundable from the time of booking.
Where supplier cancellation conditions are more restrictive, those supplier conditions will apply in addition to the above cancellation schedule.
9. Amendments by Traveller
Changes requested after booking confirmation are subject to availability.
A fee of AUD $100 per person will apply to revisions or alterations requested after confirmation unless the change results in a more expensive tour or service.
Additional supplier amendment fees may also apply.
No amendment is considered confirmed until confirmed in writing by Fairy Chimneys Travel.
10. Cancellation or Changes by Fairy Chimneys Travel
While every effort is made to operate itineraries as planned, circumstances beyond our reasonable control may require modifications.
Fairy Chimneys Travel reserves the right to modify:
• Hotels
• Transport providers
• Guides
• Sightseeing arrangements
• Routing
• Schedules
• Included services
Where reasonably necessary to ensure the successful operation of the itinerary.
Where significant changes occur, reasonable alternative arrangements will be offered where possible.
11. Small Group Tours & Minimum Numbers
Certain tours require a minimum number of participants to operate.
Unless otherwise stated:
• Minimum participants: 10
• Maximum participants: 20
If minimum participant numbers are not reached, Fairy Chimneys Travel reserves the right to cancel, postpone or modify the tour.
Where this occurs, travellers will be offered:
• An alternative departure
• An alternative itinerary
• A refund of monies paid for the cancelled land arrangements
Each situation will be assessed individually.
12. Travel Insurance
Comprehensive travel insurance is mandatory for all travellers.
Travel insurance should be purchased at the time of booking and should include coverage for:
• Cancellation costs
• Medical expenses
• Emergency evacuation
• Travel delays
• Lost baggage
• Personal liability
• Supplier insolvency
Fairy Chimneys Travel accepts no responsibility for losses that would otherwise have been covered by appropriate travel insurance.
13. Passports, Visas & Entry Requirements
Travellers are solely responsible for:
• Passport validity
• Visa requirements
• Entry permits
• Vaccination requirements
• Health regulations
• Border requirements
Many countries require passports to remain valid for at least six months beyond the intended return date.
Fairy Chimneys Travel accepts no responsibility for costs arising from denied boarding, refused entry or incorrect travel documentation.
14. Health, Mobility & Dietary Requirements
Travellers must disclose any relevant:
• Medical conditions
• Mobility limitations
• Dietary requirements
• Accessibility needs
Before confirming a booking.
Failure to disclose such information may limit our ability to provide suitable arrangements.
